About School Council

​School Council meets once per month and all are welcome to attend. Unless otherwise noted, the meetings are held at Longo's Maple Leaf Square at 5:30pm. Email notifications will be sent out prior to each meeting. You can also check out Twitter or Facebook for meeting information.

IPS SCHOOL COUNCIL MISSION STATEMENT
To enhance Communication, create Involvement, foster Community, and provide Fundraising support to IPS school community.

ROLES AND RESPONSIBILITIES
IPS School Council is comprised of a minimum of 3 parent executive positions, school principal, and a teacher representative. Parent members are parents or guardians with a child enrolled in the school. Positions are held for a one-year term.  There are no restrictions on the number of times that a member can be re-elected. Election of School Council executive to be held within the first 30 days of the calendar school year. All parents are invited to attend any School Council meeting.


School Councils are a part of Ontario's Education Act, and the Ministry of Education has a document explaining the process (click here for the document). The TDSB has a policies for fundraising as well (click here for the fundraising guide).

 SCHOOL COUNCIL EXECUTIVE POSITIONS

Chair
o   Voting member of School Council
o   Calls and presides over meetings
o   Prepares agenda with input from other Executive members
o   Ensure follow up to “action items” from previous meetings
o   Working with Communication position and Parent Rep Lead to ensure parents are receiving information on initiatives and ideas discussed at School Council meetings
o   Main contact for parent community to express ideas related to School Council
o   Liaison with Principal
o   Liaise with Parent Reps to help facilitate communication and create community

Treasurer
o  Voting member of School Council
o  Keeps all financial recorders for School Council and Lighthouse Foundation
o  Prepares financial report for AGM and for Executive meetings
o  Responsible for tracking funds raised through fundraising efforts
o  Provides direction and guidance to Fundraising Committee and assists in collection of money 
o  Assist Chair in matters of finance

Secretary
o  Voting member of School Council.
o  Keep a record of the proceedings of the School Council and executive meetings (one per month).
o  Distribute minutes and agendas for all School Council meetings to all pertinent parties in a timely manner
o  Maintain a complete set of School Council minutes 

Communications Chair
o  Voting member of School Council
o  Send all approved minutes and meeting notices to website contact so they can be posted on the school council website 
o  Working with Parent Rep Chair to add important dates to website calendar
o  Assist the Chair in the writing and sending of any necessary correspondence

Fundraising & Events Chair
o  Voting member of School Council
o  Plan and execute events and fundraising initiatives throughout the year
o  Organize any necessary community partners, purchases needed for events (ie. donations, food purchases, inflatables etc)
o  Work closely with Volunteer Chair to ensure successful execution of events

Volunteer Chair
o  Voting member of School Council
o  Solicit and schedule volunteers to help at School Council events and fundraising efforts
o  Organize and direct volunteers on event dates (ie. BBQ, Halloween party)


ADVISORY ROLES
Comprised of parents who are able to help in a variety of roles throughout the year, including but not limited to:
o   Webmaster
o   Programming of events/clubs outside of school  (i.e. chess club, ski day)

Parent Volunteers ~ We always welcome all volunteers into the school, but in order to volunteer in the classroom you must have a current TDSB approved police check. If you have completed a police check in the past, please check in with the office to complete your annual offence declaration. If you need to have a police check completed, please contact the school office at 416-393-1910 for the necessary paperwork. If you have any questions please speak to Mr. Woolford.
